Access Workday Student

How do I access Workday Student?

  • Students can access Workday Student after they have been granted a UAMS institutional email address ending in @uams.edu.
  • Students are granted a UAMS institutional email by IT Services after accepting their admission offer for their academic program and completing the UAMS confidentiality agreement.

Follow these steps to access Workday Student:

  1. Navigate to myapps.microsoft.com in a web browser.
  2. Log in with your institution email and password when prompted. You may also be prompted to authenticate using an authenticator app or secure code.
  3. A dashboard with multiple apps will display. Locate the blue app titled “Workday” and select it.
  4. You are now logged into Workday Student!

What is the difference between Workday Student and the website where I apply for admission to the academic program?

  • Applicants apply for admission through a college-specific website. Sometimes, the academic program calls the college-specific admissions website a “secondary application” if the academic program also has a CAS (Centralized Application System).
  • For example, some academic programs only have a college-specific application online. Some academic programs ask applicants to apply through a CAS and the online application process. Since there are multiple variations, applicants are encouraged to visit the academic program website for specific application instructions.

How do I access my student profile if I am already a UAMS employee?

  • If you are both an employee and an applicant or student, you may need to switch between profiles. A quick reference guide (QRG) is available for switching profiles.
  • All institutions within the UA System are now live on Workday as their new student information system. The student functions of Workday will be available in the same Workday you use for employee actions, such as time entry, absence requests, personal information updates, payslip viewing, etc., all using the same login credentials you use now. You have one person record in Workday, allowing you to access employee and student tasks in one Workday account, even if you work and attend classes at two separate institutions

Admissions

Where do I apply for admission?

  • Students can find their academic program and follow the appropriate steps to apply at https://students.uams.edu/apply/

What is needed to apply for admission?

  • Each college and academic program have their own requirements outlined on their respective websites. Questions can be directed to the admissions team in each college.

What is the deadline to apply for admission?

  • Each college and academic program have their own timeline and deadlines for applying for admission. Please check the academic program website for details.

What is the UAMS Initial Residency Determination Questionnaire, and where is it located?

  • The UAMS Initial Residency Determination Questionnaire is a form that applicants are asked to complete. It helps to determine the status of each applicant’s residency, which is necessary for tuition and billing, financial aid, and possible scholarships. *The College of Medicine has a separate form they ask applicants to complete and upload with their application materials.
  • The UAMS Initial Residency Determination Questionnaire is on the college-specific application website, where applicants submit their applications. It is under the heading of Residency Tasks.

What is the UAMS Residency Questionnaire Signature, and where is it located?

  • The UAMS Residency Questionnaire Signature is on the application website and asks applicants to confirm they have completed the UAMS Initial Residency Determination Questionnaire. This is different and separate from the Questionnaire. If you have additional questions, please contact your College’s Admissions or Recruitment team members.

What is the difference between an “applicant” and a “student”?

  • An “applicant” is someone who is submitting a formal application for admission to an academic program. A “student” is someone who has accepted admission to an academic program and completed the necessary steps to move from “applicant” stage to “matriculant” stage. This is also commonly referred to as a “matriculated student”

How do I accept my admission offer?

  • Applicants who wish to accept or decline their offer of admission must log into the college-specific application website, click on the link to the application, and accept or decline the offer. Accepting the admission offer will trigger additional “action items” on the same website that the student must then complete. This usually includes the UAMS confidentiality agreement, among other tasks.

Onboarding

What is Onboarding?

  • Onboarding is a required Workday process that helps you prepare for advising and registration each term. It’s a quick checklist of necessary tasks that will appear in your Workday “My Tasks” section. These tasks may include confirming your contact information, authorizing financial aid, and completing critical academic acknowledgments.

How do I begin the onboarding process?

  • Log in to Workday.
  • Click on the “My Tasks” icon located in the top right corner of the page.

  • Review the information and complete the required actions.
  • Click Submit.
  • Repeat steps two and three for all assigned onboarding materials.

How do I change my legal or preferred name?

How do I change my personal information?

How do I add friends and family to view certain information in Workday (third-party access)?

  • This quick reference guide (QRG) provides instructions for adding your friends and family in Workday. Students can grant third-party access to friends and family, which allows them to see certain academic and financial items.

How do I change my contact information?

  • This quick reference guide (QRG) provides instructions for updating your home address information.

EEL Training (Extended Enterprise Learning)

What is EEL Training?

  • EEL, or Extended Enterprise Learning, is the location for student compliance training (new student training, HIPAA, Title IX, N95, etc.). This is a separate process from Workday Student. Students can learn more by visiting the EEL website.

How will I know if I have a training assignment?

  • You will receive an email to your UAMS email address when you have been assigned training. This email will list the training assigned, as well as a reminder on how to access Workday Learning. Once logged in, your assigned training will display in a “Required For You” section.

Registering for Courses

How do I register for courses in Workday Student?

  • Review the Preparing for Registration Quick Reference Guide
  • Students can access specific instructional materials including the three ways to register on the UAMS course registration website.

How do I know when I can register for courses?

  • Look up when your registration window opens. In Workday, this is called “Find Registration Appointment.” Go to the menu at the top left of your Workday homepage and select “Academics Hub.” The “Find Registration Appointment” link will be listed in the right column of the page.

How do I resolve a hold that is preventing me from registering for courses?

  • Review and resolve any registration holds. Holds can prevent you from registering. To check if you have any holds, navigate to your profile and then select “Action Items and Holds” from the left-side menu. Alternatively, you can search for “View My Active Holds” in the search bar. You will find information on how to address each hold listed on the hold.
  • If you are a continuing student, ensure all your holds are cleared in GUS and Workday. When GUS holds are resolved, they will not immediately disappear from Workday, as the transfer and removal may happen weekly. Holds should be cleared in Workday before registering.
  • UAMS Student and Employee Health holds for new students will be posted in Workday in early to mid-June. To confirm if you are compliant, please login to MyChart. From the Menu icon go to My Record < Preventive Care. Any items that are missing will show under “Overdue.” Items that have been processed will show under “Not due.”

Do I need to meet with an academic advisor or program director in order to register?

  • Yes, students are usually required to meet with an academic advisor or program director. You can view your advisor(s) in the Academics Hub. This quick reference guide (QRG) provides instructions on how to view your academic advisor in Workday.
  • However, the College of Medicine students do not meet with an academic advisor to register for courses as they are manually enrolled by the college.

Can I register for courses from a mobile device?

  • Yes, students can register from a mobile device, for more information review the Workday Student Mobile App website.
  • This quick reference guide (QRG) provides instructions for registering using the Workday mobile app.

What is an intake and why does it matter?

  • UAMS is utilizing ‘intakes’ to indicate a cohort of students who began their program during the same academic period. This is because of some programs’ overlapping calendars. You will need to know your intake when registering for classes, as each intake has its own academic period to register. Not all programs of study have intakes. How do I find my intake to know which courses to enroll in?

  • To locate your intake, log in to Workday and click the person icon at the top right of the screen, then View Profile. On your profile, a Student Information section will display on the right. Locate your Primary Program of Study; this field will indicate your intake (such as Nursing Bachelor of Science in Nursing (Intake B)). Not all programs of study have intakes. How do I view and print my class schedule?

  • This quick reference guide (QRG) provides instructions on how to view your class schedule in Workday.

Student Financial Services

How do I complete “Action Items” related to Student Financial Services?

  • Students can complete “Action Items” by clicking on the My Tasks Inbox at the top right corner of the Workday Home Page. Additional instructions are located on the UAMS Fulfill a Financial Aid Action Item Quick Reference Guide.

How do I find my student account information also called “Financial Hub” in Workday Student?
